Who is CheckingIn? they are virtual gathering space that fosters holistic healing, preserves traditions, and creates a sense of belonging through cultural connections for Indigenous communities. We specialize in providing custom-branded apps tailored for the Indigenous communities that focus on reconnection and revitalization of culture, supporting individuals on their path of learning and healing.

What are they looking for? they are seeking for a highly organized and proactive Executive Assistant to support our CEO at CheckingIn. This critical role involves managing administrative functions, handling communication, and assisting with day-to-day operations to ensure the executive team operates efficiently.

Location: This position is entirely remote, with a preference for candidates located in the Pacific Time Zone. A dedicated co-working space is available in Vancouver only.

Responsibilities

  • Schedule and organize meetings, appointments, and travel for executives.
  • Handle incoming and outgoing correspondence, including emails, phone calls, and messages.
  • Prepare agendas, take minutes, and follow up on action items from meetings.
  • Manage expense reports and reimbursements, including generating invoices and basic accounting duties (Honorarium payments, allocating expenses in QuickBooks).
  • Track grant reporting, manage expenses, and assist with financial reporting.
  • Assist with new hire processes, including explaining expense reporting and managing basic HR documentation.
  • Assist with special projects, research, and data analysis as needed.
  • Organize company events, meetings, and team-building activities.
  • Handle sensitive information with discretion and maintain confidentiality.

Preferred qualifications and skills

  • A minimum of 3 years of experience in an executive support or administrative role.
  • Strong organizational skills, with the ability to multitask and prioritize effectively.
  • Proficiency in QuickBooks, Microsoft Office Suite, and Google Workspace.
  • Excellent written and verbal communication skills.
  • Attention to detail and a high level of accuracy in handling administrative tasks.
  • Self-starter who can take initiative and work independently.

Salary Range: $50,000 – $60,000 CAD per year
